Customers still use the email address as a filter. mike.smith.plumbing.jobs@gmail.com can be a fine inbox. On a proposal it reads as “not done setting up.” The fix is not a new personality. It is a mailbox on the domain you already need for the website: mike@rivercitydrain.com.
What “professional email” means here
It means mailboxes whose right-hand side is your domain. The left-hand side can be boring: hello@, info@, your first name. Fancy aliases are optional. Catch-all addresses collect spam; start with one or two real mailboxes.

The DNS part, without a lecture
Mail does not “just work” because you bought a domain. The domain needs MX records (and usually SPF, DKIM, and DMARC) that point at Microsoft or Google. If you buy Microsoft 365 through GoDaddy (affiliate link to GoDaddy, placeholder URL) on a domain that also lives there, they typically write those records for you. If the domain is at GoDaddy and mail is at Google, you will paste values from Workspace into the DNS screen. Budget an hour and a coffee. Do not do this for the first time during a live launch email blast.
A sane mailbox plan for one person
One user license in your name
hello@ or firstname@. Add a second seat when there is a second human, not before.
Turn on two-factor authentication
Email is how invoices, password resets, and domain recovery work.
Keep the old Gmail for a quarter
Set a vacation-style note pointing at the new address. Move vendors when you pay them.
Put the new address on the site and GBP
Do not advertise it until you have received a test message from a phone on cellular.
What we do not recommend
- Running the business forever from a personal Gmail, even if you “feel more organized there.”
- Buying ten licenses because a bundle looked cheaper. You can add seats.
- Using a free consumer Outlook.com or Yahoo address with your business name in the display field. The domain still shows.
Mail is part of looking legitimate, next to HTTPS and a matching phone number. It is also how you recover the domain if you ever lock yourself out. Treat it as infrastructure, not stationery.
